Add a Child to a Group

Follow these steps to add a new or existing child to a group.

Coaches, Site Managers, or Account Owners can add children in bulk from a spreadsheet, or one at a time.

The group must be created first.

To add multiple children from spreadsheet...

Bulk add is useful for populating a classroom quickly with required information from an existing data source. You can add demographics or assign device serial numbers to individual children later.

1. Prepare data for import, and copy it to your clipboard.

You can use any spreadsheet program or a CSV, but data must be in this format:

First name Last name DOB (mm/dd/yyyy) Ext Ref ID (optional)

2. In LENA Online, click into the Group and go to the Children tab.

3. Click Add Child.

5. Paste the data from your clipboard.

6. Review data.

To make changes, click Go Back. Repeat above steps.

7. Click Continue.

 


To add children one at a time...

1. Click into the Group and go to the Children tab.

2. Click Add Child.

3. Enter child info as needed.

  • New child: Enter all data.
  • Existing child: Enter last name. Click Continue, then select child from search results.

Note: If you know the child has already participated in a group you have access to, but the search shows no results, double-check that what you entered matches the existing child exactly: spelling, punctuation/accent, suffix, birth date. Any difference can result in creating a duplicate child!

4. Confirm to add the child to this group.

 

Edit child information or add more detail

Open the Child's information for editing any time.

  1. From the Children tab of the Group screen, click the child's name.
  2. Make changes to any required or optional item, as needed.
    • Optional items:
      • External Reference ID can be used to input the ID from a separate database your children are in. ERID appears in LENA exports, and your data team can use this column to set up data imports or spreadsheet merges with your other system.
      • Demographics contains details on gender, language, ethnicity, and level of education that a data analyst could use for slicing your data in different ways. These details can be gathered via the opt-in consent form for your program, or on a form you create.
  3. Save.

If you need to edit the birth date of a Child who already has data in the system, please contact support@lena.org to make a plan for correcting the existing data.
