Overview of LENA Grow Sites, Groups, and Users in LENA Online

Your program's LENA Online account is organized by Sites and Groups. Within this structure, staff User accounts can be configured for access to the features and reports they need

Here's a simple example where the Account contains three Sites. Each Site contains a few Groups:

What does it all mean? Let's start at the bottom by defining Groups, and work our way up the hierarchy.

Groups, group Coaches, and teachers

A LENA Grow Group is any classroom completing a single sequence in LENA Grow. A Group contains the children who are participating in that sequence by contributing LENA Days to the Group's reports. Children can move from Group to Group over time – more on that later.

  • Each group has an assigned Coach.
    • The Coach is a LENA Online User who logs in to manage the Group's progress through the sequence: adding children and teachers, assigning LENA devices, and accessing reports and other coaching resources.
    • One Coach can be assigned to many Groups.
    • A Coach can see data for the specific Group(s) she is connected to.
  • Each classroom Group also has one or more associated teachers.
    • These are the educators who are participating in LENA Grow coaching sessions during the sequence.
    • A teacher can be associated with more than one Group over time if he or she participates in more than one sequence.
    • Teachers do not have direct access to LENA Online.
  • A Group counts against your program's subscription when the first LENA Day occurs. LENA Online Account Owners can view usage on the Account Overview screen.

Sites and Site Managers

Every Group belongs to a Site. A Site usually represents a single center, school, or other physical location and contains the participating classroom Groups, but in some cases, a Site may be used to organize Groups by type. In the example above, the FCC Network Site contains Groups that are not in the same physical location; the Site represents the type of classroom.

  • Each Site can have one or more Site Managers.
    • A Site Manager is a LENA Online user who can:
      • See all Groups, children, and data within that Site.
      • Create user accounts for new coaches and connect existing coaches to groups within the Site.
      • Create new Groups within the Site. Note: Both Account Owners and Site Managers can create Groups, so your program can choose whether to centralize or delegate the task of Group creation.
    • Site Managers are assigned by the Account Owner.
    • A person can be Site Manager for one or more Sites.
    • A Site Manager can also be connected to one or more Groups as a Coach.
  • Sites cannot contain other Sites. 
  • A Group belongs to just one Site.
  • Your program can have as many Sites as needed. The LENA Grow subscription is for a prescribed number of Groups.

Accounts and Account Owners

All Sites are part of an Account. An Account represents a partner who has an agreement with LENA to carry out one or more LENA programs.

  • An Account typically has one to three Account Owners.
    • The Account Owner is a LENA Online User who can:
      • See all Sites, Groups, children, and related data in the entire Account.
      • Create Sites, Groups, and User accounts, and add children and teachers – essentially, all data entry options are available.
      • View subscription / contract totals, date ranges, and contract usage (e.g., number of rooms used out of the total purchased).
    • An Account Owner can also serve as Site Manager and/or Coach, just by being added to the Site or Group.
